AI in professional services: what it actually gets you

Everyone talks about AI. But what does it actually get you when you sell time and expertise? Four things it already does today, when to start and when not to, and why custom work costs far less now.

Everyone talks about AI. But what does it actually get you when you sell time and expertise? And what does it cost?

The answer is simpler than you would think. AI works best on your own numbers. And you already have them: your projects, your hours, your customers, your invoices, all in Odoo. AI can do something with that today. Not someday. Now.

Below are four things AI already does. When to start, and when to wait a bit. And why custom work costs far less than it used to.

Four things AI already does

No far-off future. Four things you can measure, running on numbers you already have.

What AI doesHow it worksWhat you get
Pre-fill hoursSuggests timesheet lines from calendar and email.More billable, less hassle.
Draft quotesBuilds a proposal from past projects.Faster quoting, better estimates.
Triage emailReads tickets and drafts a reply.Faster response, less manual work.
Watch projectsFlags a project running over time or budget.Adjust sooner, fewer surprises.

For none of these four do you have to track anything new. It is already in Odoo.

The questions we hear most

Customers almost never call us saying “we want something with AI”. They call with a problem they are sick of. Three examples:

“Can you make time tracking easier, so people actually do it?” The biggest leak in a services firm is between work done and work billed. So we built Updoo Timesheets: a stripped-down entry fast enough that people actually use it. AI can suggest hours from the calendar on top of that. Less forgotten, more on the invoice.

“Can AI draft our quotes faster?” A new proposal rarely starts from zero, there is almost always a similar project. AI pulls that up and drafts a first version. You sharpen it. That is how HR Subsidie Specialist put CRM, project hours and invoicing on one base, so billable hours and applications no longer drift apart.

“Will we get a heads-up in time when a project goes off track?” A project rarely blows up at once, it slides slowly. AI sees that coming in the hours and the budget, and flags it while you can still adjust.

When yes, and when not yet

Not everything in services suits AI. The line is usually easy to see:

Start with AI when…Wait a bit when…
…people actually log their hours in Odoo.…hours are still on loose notes.
…it is something that happens often (hours, quotes, tickets).…it only happens now and then.
…you can measure the result in time, margin or billing.…nobody can say what a good result is.
…projects, hours and invoices are in one system.…everything still sits in separate tools.

Put AI on a shaky process and you mostly get faster mistakes. Get the basics right first. Then AI.

Why custom is only affordable now

A services firm always used to keep two lists. One had everything the software should do. The other had what it was allowed to cost. The good ideas got stuck in between. That gap has largely closed.

The reason is simple: building goes much faster with AI in the loop. People call it vibe coding. The work shifts. Less typing code, more thinking clearly about what you want, then checking it is right. That is where the craft sits.

An example. A customer wanted price lists you can download, that fill a cart in one click. That used to be a few days of work and two specialists. We built it in four hours. In the old world this customer would never have started, because the budget was not there.

That is the real change. Not that custom got a bit cheaper. But that a whole pile of “nice, but too expensive” ideas suddenly became possible.

Where to start

Start small. Pick one job that hurts right now and where your data already lines up. Usually that is time tracking or quotes. Prove it there first. Works? Then the rest. And keep your Odoo in order, because that is what AI stands on.

A 30-min scan turns hunches into a concrete view, what stays standard Odoo, what becomes custom, what doesn’t need code at all.
